Events we produce

What full-service event production covers

Event production is the whole chain, not a gear list. Here is what we take on when we run a program end to end.

Scope and Design

Every event starts with what the room has to do. We walk the venue and take the load-in restrictions, ceiling heights, power and rigging points, then work backward from the audience experience to the equipment list. You get a scope and a quote you can hand to a finance team, not a line-item guess.

Technical Direction

A production manager owns the show from that point on. They build the run of show with your team, chase the deliverables that always arrive late, final decks, speaker lists and walk-in music, and make the calls on show day so you are not the one deciding whether to hold the doors.

The Build

Our crew, our inventory. Sound, lighting, video, LED and staging arrive on the same trucks and go in on the same schedule, which is what keeps a load-in from turning into five vendors waiting on each other in a loading dock.

Show Day

Operators stay on their positions for the whole program. Cameras, audio, playback and lighting run from one control position, and there is a rehearsal before doors whenever the schedule allows one. Presenters get to see their slides on the screen before the room does.

Strike and After

We break down, restore the room and return what needs returning. Recordings, ISO camera files and photos go back to you rather than sitting on a drive in our shop.

What This Is Not

We are not an equipment rental counter. You can rent gear from us, and plenty of clients do, but event production means we are responsible for whether the show works, not just whether the boxes arrived.

Choosing an event production company

Most planners comparing event production companies are really asking three questions: who actually shows up, who owns the outcome when something breaks, and whether the price on the quote is the price on the invoice.

Ask who owns the crew

Plenty of companies subcontract the labour and the gear. That is not automatically a problem, but it means the people in your room on show day may never have worked together before. Ask whether the crew is in-house. Ours is, backed by the full range of audio visual services we run ourselves.

Ask what happens when something fails

Redundancy costs money and it is the first thing cut from a cheap quote. Ask what the backup is for the projector, the wireless microphones and the internet connection, and whether the spare is on the truck or a phone call away.

Ask for the whole number

Labour, delivery, load-in and strike, power distribution and overtime rules should all be on the quote before you sign. Surprise line items after the event are the most common complaint planners have about this industry.

We are based in Chantilly and produce across Washington DC, Northern Virginia and Maryland, with a second location in Troy, Michigan covering metro Detroit.

Full-service production, one accountable team

Every event type below draws on the same in-house AV disciplines, sound, lighting, video, staging and installation, coordinated by a single production manager. That means no finger-pointing between vendors on show day and one team that owns the outcome from the first site visit to load-out. Comparing vendors? Our guide to choosing an AV production company covers the questions to ask and the red flags to watch for.

Virtual & Hybrid Events

Virtual event production, handled in-house

Not every event happens in one room. Prime AV runs virtual event production and hybrid events out of the same shop, multi-camera switching, console audio and a reliable stream, so a remote audience gets the same event AV quality as the people in the seats. See how we approach virtual and hybrid event production and what goes into a good stream, and add stage or pipe & drape rental when the room needs building too.
