Award Ceremony & Gala
An awards night only gets one shot at each moment. The winner's name gets announced once. The room reacts once. Someone's twenty years of work gets recognized in the thirty seconds it takes to walk across a stage, and if the mic cuts out or the wrong slide comes up, that moment is gone.
We've built galas and award ceremonies long enough to know that this event type carries more emotional weight per minute than almost anything else we produce, and we plan for it that way.
Here are the pieces we focus on most, and how we run the show around them.
Sound & Audio for Every Speech and Toast
An awards ceremony lives and dies on whether people can understand what's being said. That means wireless microphones that work cleanly for emcees, executives, and honorees who've never held a mic before in their life, audio mixed carefully over applause, dinner service, and a room full of side conversations, and smooth transitions between a speech, a video package, and a walk-up song without an awkward silence or a blast of feedback in between.
We coordinate the RF frequencies in advance too, especially in hotel ballrooms where three other events might be running mics on the same night.
Lighting Design
A ballroom during cocktail hour and that same ballroom during the awards presentation should feel like two different places. We handle both: stage lighting that keeps presenters and winners looking sharp for photos and any recorded footage, and room lighting, uplighting, color washes, architectural accents, that transforms a plain function space into something that actually feels like an occasion.
The lighting also has to shift on cue, dimming for a tribute video, brightening for a big reveal, without anyone in the room noticing the mechanics behind it.
Video & Screens
Modern awards nights run on screens as much as they run on a stage. We handle IMAG so the person at table twenty-two can actually see the honoree's face, category and nominee graphics that keep the program moving without confusion, and the tribute or recap videos that are often the most emotional five minutes of the whole night.
We also build in sponsor and brand content where it belongs, so the visuals support the program instead of feeling like an ad break in the middle of someone's big moment.
Custom Staging & Branded Backdrops
The stage is where the entire night's attention lands, so it has to be built right: the correct height and footprint for your room, safe and accessible steps for winners who are focused on everything except where they're stepping, and a backdrop that carries your event branding and any sponsor logos into every photo taken that night.
We can pull from an existing inventory of stage and set pieces or build something fully custom when the event calls for it.
Red Carpet & Step-and-Repeat Entrance
The arrival is part of the show too. A red carpet and a branded step-and-repeat backdrop turn walking into the venue into a photo moment, which matters for galas with press coverage, sponsors who want visibility, or simply guests who want to feel like the night is special from the second they arrive.
It's a small footprint addition with an outsized effect on how the whole evening feels from the first minute.
Draping & Room Décor
Most ballrooms are built to be neutral, which means they need real work to feel elegant. Draping, fabric backdrops, and decor elements soften hard walls, hide the parts of a venue you don't want photographed, and pull the whole room together around your event's colors and theme.
This is often the difference between a gala that looks like a rented hotel space and one that looks like it was designed specifically for the night.
Event & Production Management
Everything above has to come together on a strict schedule with zero room for a delayed cue, and that's the job of a dedicated production manager. Before the event, they build the run of show, a minute-by-minute breakdown of every speech, video, award presentation, and transition, and they walk it with your team, your emcee, and your venue.
On-site, our production assistants manage the details that would otherwise fall on you, while our production manager calls the show from a live position, keeping audio, lighting, video, and staging moving together. You get to be present for the night you're hosting, instead of standing backstage checking cue sheets.
Frequently asked questions
How far ahead should we book a gala?+
We recommend 3–6 months for galas and awards nights, especially if you want custom staging or a specific date during peak event season. Reach out earlier if your venue or date is flexible.
Can you build a custom stage for our venue?+
Yes. We can pull from an existing inventory of stage and set pieces or build something fully custom sized to your room, with a branded backdrop that carries your event's look into every photo.
Do you handle both the ceremony and the after-party?+
Yes — we handle the full night as one production, including the lighting and audio shift from the formal ceremony into the reception or after-party that follows.
