Corporate Meeting & Conference Production
A meeting only works if the room works. The mic has to carry the CFO's voice to the back row. The screen has to hold up under the lights. The stream can't drop the moment the CEO says the one thing everyone tuned in for. Beyond the boardroom, we also produce groundbreaking and ribbon-cutting ceremonies.
That's the part most people never think about until it goes wrong, and it's the part we've spent over a decade getting right as a corporate meeting AV company serving Washington DC, Northern Virginia and Maryland. Our corporate event production covers the full program, from a single board meeting to a multi-day conference. For campaign and public-sector programs, see our political and government event production page.
Conference AV, staging and production, from a 12-person board meeting to a three-day conference

In-Person & Hybrid Event Production
Most meetings today aren't purely one or the other. You've got people in the room and people dialing in, and both groups need to feel like they're part of the same conversation. Our hybrid event production builds the in-room experience first: audio that reaches every seat without feedback or dead spots, lighting that keeps your speakers visible and your slides readable, and a layout that actually fits your agenda instead of forcing your agenda to fit a rental package.
Then we bridge it. Cameras, mix-minus audio, and a control point that lets remote attendees see and hear the room clearly, ask questions, and stay engaged instead of watching a static shot of someone's forehead. We've delivered meeting audio visual in boardrooms, hotel ballrooms, and conference centers across Washington DC, Arlington, Alexandria, Tysons, Bethesda and National Harbor, where the standards for reliability are simply higher, and we plan for that from the first phone call, not the week of the event.

Virtual Event Production
Some meetings never have a room at all, or the room is really just a set for the camera. That's a different discipline than plugging in a projector, and we treat it that way. Our virtual meeting production covers professional video broadcast: multi-camera coverage, clean switching between speakers, slides, and pre-recorded segments, along with the encoding and platform delivery to get it in front of your audience without buffering, dropouts, or that slightly-off audio sync that makes a whole meeting feel unprofessional.
We also record everything properly, not as an afterthought. Board meetings, town halls, and press-facing sessions often need a clean archival copy for compliance, training, or simply so the people who couldn't attend live can watch it later. We deliver footage that's actually usable, for internal records, for your own future promotional or training content, whatever you need it for.

Event Branding
The way your event looks is doing marketing work whether you plan for it or not. Our team designs and builds the physical presence of your event: custom staging, printed vinyl, fabricated set pieces, and backdrops that carry your logo, colors, and message wherever a camera or an attendee's eye lands. That includes step-and-repeat walls for press moments, branded podiums, stage skirting, and larger scenic elements when the event calls for something more built-out.
We handle this in-house, from design through fabrication and printing, which means faster turnarounds and fewer vendors for you to manage. And for clients in regulated and public-facing sectors, we know how to keep branding sharp and professional without ever making a statement we're not being paid to make.

WiFi & Internet Solutions
Nothing derails a modern meeting faster than internet that can't keep up. A single keynote room can have a few hundred phones, laptops, and streaming devices hitting the network at once, on top of whatever your production team needs to get a livestream out cleanly. Hotel and venue WiFi is very often not built for that load, and the internet package the venue tries to sell you usually isn't either.
You don't have to pay the venue's marked-up internet rates. We bring in our own connectivity and deploy remote access points throughout the space, so coverage matches the room instead of a single router doing all the work. Our network backbone runs on fiber optics as the primary connection, backed by Starlink and 5G providers for redundancy.
This is the piece that's invisible when it works, and the piece everyone remembers when it doesn't. We'd rather you never think about it at all.

Video Wall Production
If you haven't looked at LED video walls recently, it's worth a second look. The technology has genuinely moved past projectors for most meeting and conference applications. A projected image washes out under normal room lighting and needs a dark room to look sharp, which is exactly the opposite of what most daytime conferences need. An LED wall holds its color, contrast, and brightness no matter how bright the room is, and it scales panel by panel to almost any size or shape, fitting your stage rather than forcing your stage to fit a screen.
It also lets us split the wall between a live camera feed, your slides, and a countdown clock, or scale from an intimate boardroom display to a wall spanning an entire general session stage. For events where the visual is part of the message, this is the difference between a screen people glance at and a moment people remember.
Event & Production Management
Here's the part that actually matters most: someone has to be responsible for making all of the above happen on time, in order, without you having to think about it. That's what a dedicated production manager does. Before the event, they build the run of show, a minute-by-minute plan covering load-in, rehearsal, doors, every segment of the agenda, and teardown, and they walk it with your team so there are no surprises on the day.
On-site, our production assistants handle the details that eat up a planner's entire day otherwise: signage placement, registration tech, cueing speakers, and troubleshooting anything that comes up before it becomes visible to your attendees. Our production manager runs the show in real time, calling cues and keeping every moving piece in sync.
What that means for you is simple: you show up to run your meeting, not to manage a production. We handle the rest. For a look at how this comes together on a real day, read our breakdown of a national medical conference we produced in a Washington DC hotel.

General Session & Keynote Production
The main room sets the tone. We produce general sessions and keynotes with the staging, LED video walls, IMAG cameras, sound, and lighting to make every speaker look and sound their best, from a single keynote to a multi-day plenary, run by a show-calling team that keeps the program on time.

Breakout Rooms & Multi-Track Sessions
Big agendas need breakouts that run on schedule. We equip breakout rooms and concurrent sessions with matched AV, presentation support, and conference videography, so attendees get the same polished experience in every room and your content is captured for hybrid and on-demand viewing.

Association Annual Meeting & Nonprofit Conference Production
We are a trusted partner for association annual meeting production, nonprofit conferences, membership summits, and fundraising galas. From registration-area displays to the general session and awards, we handle the production so your team can focus on members and mission.

What's the difference between hybrid and virtual meeting support?+
A hybrid meeting has people in the room and people joining remotely, so we build the in-room experience first, then bridge it with cameras and audio for remote attendees. A virtual meeting never has a physical room at all. It's produced entirely for the camera, which is a different discipline than plugging in a projector.
Can you handle a multi-day conference with breakout rooms?+
Yes. We regularly run conferences with a general session, multiple breakout rooms, and a livestream to remote attendees, all coordinated by the same production team.
Do you provide WiFi for venues without reliable internet?+
Yes, we design custom WiFi and internet deployments, including multi-carrier connectivity and dedicated bandwidth, for venues that can't guarantee a stable connection on their own.
Can you work in our hotel instead of the in-house AV company?+
Yes. Most hotels let you bring your own production partner, and we work alongside hotel audio visual companies and in-house teams every week across DC, Virginia and Maryland. We handle the load-in rules, the rigging points, and the paperwork the venue needs, and you typically save on the in-house price list.
Do you produce general sessions and keynotes for large conferences?
Yes. We handle general session and keynote production end to end, including staging, LED video walls, IMAG cameras, sound, lighting, and show-calling, for audiences of any size.
Can you support association annual meetings and membership conferences?
Absolutely. Association and nonprofit conferences are a core specialty, from annual meetings and membership summits to awards galas, with full production and hybrid options.
Do you work with government agencies and government venues?
Yes. We regularly produce government and agency meetings, federal briefings, and public forums across the DC metro, with crews experienced in government venue requirements.
